• Office Services Associate - Elgin office

    Position Summary:

    The person in this position is the first to interact with agency clients. This person greets clients, adheres to safety procedures, manages the main phone, makes appointments, maintains calendars and offers friendly, culturally and translated information to immigrant families and other clients to services offered at Centro de Información.

    Centro de Información is a 501c3 non-profit organization with offices in Elgin, Carpentersville and Hanover Park. The mission of Centro de Información is to empower Hispanics with the ability to effectively integrate into our greater community through the facilitation of information, education, citizenship and well-being. Centro provides immigration and naturalization services, employment aid, an emergency food pantry, educational seminars, public benefits outreach and advocacy and more. Centro has been serving in the community since 1972 and serves over 7,000 clients each year.

    Each office location (Elgin, Carpentersville and Hanover Park) is open Monday through Friday from 9:00 am to 5:00 pm.

    Duties

    • Arrive promptly Monday through Friday 15 minutes before office opens to prepare office space (8:45 am)
    • Answer phone and route calls to agency staff or take messages.
    • Schedule appointments for clients based on availability of agency program teams.
    • Assist clients with completing forms and collecting documentation in preparation for their appointments.
    • Complete client intake forms and enter client and service information into agency database.
    • Refer clients to service providers such as Social Security, WIC, LIHEAP (Low Income Home Energy Assistance Program), child care, job training, church and community resources, and ESL classes, among others.
    • Perform client follow up to collect information on program performance and client satisfaction.
    • Accept payment for agency services, submit money and receipts to Director of Finance and enter payment date into billing database.
    • Monitor office safety protocols at all times and alerts the staff to any safety concerns.
    • Creates a welcoming environment for staff and clients, which includes organization of office areas used daily and inventory of supplies.
    • Perform other duties as assigned

    Position reports to Community Outreach Coordinator

     

    Qualifications

    • Bilingual English & Spanish, as well as bicultural
    • High school diploma required / some college preferred
    • Proficient in MS Office and Internet
